    Bar Code and Wire Form Changes
    The New Supplier, Purchase Order, and Journal Entry documentation forms along with the barcode are now within Oracle. The New Supplier and Purchase Order forms may be found in the UAB FN Document Entry/Approval and the UAB Requisition Input responsibilities. The Journal Entry form is in the UAB FN Document Entry/Approval responsibility.

    The Wire Documentation form has been placed in Payment Request. If wire information is required for a Payment Request, the form may be completed while entering a Payment Request.

    New race and ethnicity categories available for self-identification

    As an educational institution and federal contractor, UAB is required to compile and provide a count of employees by job category, race, ethnicity and gender to the federal government on an annual basis. Recently the Equal Employment Opportunity Commission revised the race and ethnic categories by which the institution reports applicants and employees. As a result, the Office of Human Resources is offering employees the opportunity to voluntarily and confidentially “re-identify” their race or ethnicity with these new options beginning June 1.

    Employees can self-identify using the new categories either through Oracle self service or by completing a new paper form located on the HR Website under Affirmative Action EO and Compliance.

    New UAB Directory distribution underway

    Copies of the 2008 edition of the UAB Directory are being distributed across the campus and the health system, with UAB Shipping & Receiving planning to complete delivery to the loading docks of designated buildings by April 15.

    Once you receive a directory, please review both your personal listing in Section D and your departmental listings in Section E, then follow the procedures to correct any inaccurate information. You can learn more about the UAB Directory online at www.uab.edu/directoryinfo.

    The Java Changeover Delayed Until Further Notice

    The changeover from JInitiator to Sun Java (version 1.5.12) has been delayed until further notice.

    Conflicts with Java 1.5.12 and the Amicas imaging system have been identified. An upgrade of the Amicas system is scheduled for the month of April. Once the upgrade is complete and the compatibility issues are resolved, UABIT will schedule a new date for the Java changeover.

    If Java 1.5.12 has already been installed on the computer, there is no need to uninstall as it should not conflict with other programs (other than Amicas) on the workstation.

    WEBCT Vista has been certified to run with Java 1.5.12 and as of March 15th will become the standard for WebCT Vista. However, Java 1.5.12 is not required to access WebCT and the older 1.5.7 will continue to work.

    Oracle Login Errors

    Oracle is experiencing intermittent errors when users attempt to login. Requesting a reset of your password will not resolve the error.

    The system is returning the following message.

    Error: Internal Server Error. Please retry the operation.

    This issue does have our full attention. We have made progress in identifying the cause of the error and are working to rectify the issue.

    Needed JInitiator 1.3.1.28 Upgrade and Uninstaller are Available

    As of December 17th, Oracle Adminsystems require a new version of JInitiator (version 1.3.1.28). If the needed version has not been installed on the workstation, users will be prompted to install 1.3.1.28 the first time they access the system. More recent versions will not work as the Oracle patch level dictates which version of JInitiator to call on the machine.

    The JInititator version 1.3.1.28 is available for download from the IT Software Download Site in two versions; the original from Oracle and a silent installer version.

    Due to security concerns, it is also recommended to remove all versions of JInitiator older than 1.3.1.24. Please note the JInitiator version 1.3.1.24 should NOT be uninstalled, as it will still be needed to access Banner. To assist with removing all previous versions of JInitiator older than 1.3.1.24, an executable package has been created and is available for download from the IT Software Download Site

    UAB Report Viewer Now Available

    The UAB Report Viewer has been developed as a repository for reports created by administrative systems at UAB. To date, all Banner Student System reports and select Oracle reports are being posted to the UAB Report Viewer. When reports are posted to the UAB Report Viewer, an email notification will be sent alerting that a report has been posted for review.

    Grant MASB Reports
    The Grant MASB bursting job did not complete correctly and all users did not receive their reports. We are in the process of recalling the MASB notifications from the users worklist and we will re-burst the MASB reports to the users.

    UPDATE: IT Outage from Monday May 7th

    At approximately 2:45pm on Monday, May 07, 2007, we received information that some central IT systems, such as admin systems, email and internet, were experiencing sporadic outages. Upon investigation, the outages were associated with and contained to 1 of 3 UPS systems in the RUST Data Center.

    The UPS issue has been resolved and all systems are up and running. If you are experiencing outages associated with email, network, internet or accessing admin systems, please contact the AskIT Help desk at 6-5555, so we can log your ticket and notify the appropriate system administrator.

    Updated status report on the Computer Center outage.

    With the exception of some individual mailboxes, Oracle and most major systems are back on line. As we continue to restore all services, some IT systems may still experience temporary access delays. Additionally, some email messages may still be unavailable until they are restored from backup.

    The outage that occurred at approximately 8:00am on March 16th was a result of a power issue at the Computer Center affecting multiple IT system.

    MAS Balances Report
    Last week there was an interruption in the burst process for the GA MAS Balances report. Since we do not know exactly where the process stopped, all the GA MAS Balances reports will be re-burst to the normal recipients to ensure everyone receives their reports.     Internet Explorer 7 release concerns..........
    In the coming weeks, Microsoft will be releasing Internet Explorer 7 as an automatic update to your computer running Windows. UAB users should be aware that IE7 has NOT been certified with several of the administrative systems that require a web browser, specifically; Oracle HR & Finance, Banner, OptiDoc and WebCT Vista are currently not certified with IE7. It is strongly recommended that you not accept the automatic update for IE7 when it is pushed to your machine. For detailed instructions on how to prevent the update from being automatically installed on your machine, see

    New Payment Request is live
    The New Payment Request was put in production in Oracle over the weekend. However, we are getting reports of users still accessing the old payment request form. This is primarily because "Payment Request" was saved in the user Top Ten list. To fix this, remove "Payment Request" from your Top Ten list and reload it from the left side of the Navigator form. After it is reloaded, "Payment Request" should link to the New Payment Request form.

    Salary Reclass Form Changes
    The following changes to the salary reclass distribution form will be effective Friday, January 5, 2007:

  • All distributions for monthly-paid employees must be adjusted by element (no changes to the find window as the reclass form will automatically default to element adjustment)
  • Biweekly-paid employees with the elements moving allowance and/or sign on pay must be adjusted by element
  • Moving allowance and sign on pay elements may not be reclassed to a grant account

    Microsoft Office 2007 Enterprise is now available for download on the IT Software website. The license key is included with the download documentation. Please note the following: .     Sunflower Training
    The UAB Equipment Accounting Department has created end user access to Sunflower; the new equipment accounting system for the University and the Hospital. Classroom training is scheduled to introduce Accountable Equipment Officers and other department personnel to the new system.     Optidoc WebIT has been upgraded.     DELL Battery Recall
    Dell has identified a potential issue associated with certain batteries sold with Dell Latitude™, Inspiron™, XPS™ and Dell Precision Mobile Workstation™ notebook computers. In cooperation with the U.S. Consumer Product Safety Commission and other regulatory agencies, Dell is voluntarily recalling certain Dell-branded batteries with cells manufactured by Sony and offering free replacements for these batteries.     New JInitiator Version available for download
    Beginning August 5, the Oracle Adminsystems will require the new version of JInitiator (version 1.3.1.24, available for download at http://www.uab.edu/adminsystems/downloads/Jinitiator_13124.msi [scripted unattended/silent install for Windows XP SP2] or at http://www.uab.edu/adminsystems/downloads/jinit13124.exe [attended install for Windows XP SP2 and others]). Users will be prompted to do so the first time they access the system after August 5 if they have not already upgraded the component; without the upgrade, they will not have access to the system.

    UABIT recommends that users and administrators upgrade all machines prior to August 5 in order to avoid delays in accessing the system.

    Please note that the old version of JInitiator should NOT be uninstalled, as it will be required for access prior to the changeover time. If you encounter any problems with upgrading the software, please contact the AskIT help desk at 6-5555 or by email at askit@uab.edu.

    Notice for Netscape and Mozilla browser users
    Netscape 6 (and higher) & Mozilla users may find that their browser fails to find the JInitiator plug-in after its initial download. This can be resolved by copying the Netscape JInitiator plug-in file from the JInitiator home directory (C:\Program Files\Oracle\JInitiator 1.3.1.X), to the Netscape "plugins" directory, (C:\Program Files\Netscape\Netscape 6\Plugins and C:\Program Files\mozilla.org\Mozilla\plugins). The name of the plug-in is always given a name that begins with NPJinit and a file extension of .dll (for example, NPJinit131*.dll).

    ACT form upgrades
    Please take note of the following changes/upgrades to the ACT Form that have been made to enhance its use:

    An edit has been placed on both ACT-Termination and ACT-End Assignment documents. This edit re-directs the requestor to create an ACT-Nonrecurring Element document when pre-existing future payments exist.

    Although a future dated termination action may exist on an employee, the UAB HR Deducting Departments will be able to create ACT-Refund, ACT-Nonrecurring, and ACT-Recurring Element documents as needed.

    Pressing the ACT-Log button will automatically direct the user to the UAB Document Locator for a view of approval history and tracking.

    Requestors can now stop future Nonrecurring Elements, and any associated element level costing will be automatically deleted. If that element is added back, the requestor will be prompted to provide costing information.

    These changes were placed into the production system on July 12th.

    Mac Issues with Oracle Upgrade
    There are known connectivity issues between the upgraded Oracle system and Mac browsers -- specifically, IE 5.2 and Safari. It has been determined that a working short-term solution to these issues can be found by using either Mozilla Firefox 1.0.6 (available for free download at www.getfirefox.com) or Netscape 7.2 (available for free download at www.netscape.com) browsers to access the Oracle Administrative Systems.

    The problems are being researched by the Oracle team and IT Customer Services.

    Oracle Systems Upgrade
    UAB will be upgrading the Oracle HR and Finance systems from July 16 to July 18, 2005. This upgrade is required by Oracle for all future mandatory upgrades. This upgrade will require that the Oracle systems be unavailable for use from Friday night, July 15, until Tuesday morning, July 19, 2005. Unfortunately, this means that this includes a full workday (Monday, July 18) of downtime for the system.

    The UAB Budget model will still be available during the time the HR and Finance system is offline.

    Again, please note: ALL Oracle Adminsystems will be UNAVAILABLE during this upgrade process, including MONDAY, JULY 18.

    ·          Service Center Journal Entries should be in Central Review by 5pm this day.

    ·          Salary Adjustments relating to Effort Reporting should be submitted and processed entirely through all Workflow approvals by 5pm this day.

    ·          Cash Receipts to be deposited through the General Accounting Department or the Grants & Contracts Accounting Department should be deposited by 10am this day.
