New Report Viewer
A new form, called the Report Viewer, will be available March 1 to provide end users with access to reports that have been burst to their Personal Worklist. After a report burst program is complete, that report is viewable via the Report Viewer. Users can access the Report Viewer from one of the following responsibilities: UAB FN Document Entry/Approval, UAB GA End User, UAB GL End User, UAB HR Officer, and UAB Salary Reclass. Some of the bursted reports will be purged from the Report Viewer. Click here to view the schedule for purging reports from the Report Viewer.

New Features in ACT
Several features are now available to users of the ACT form. These include: the ability to create Data Change documents using retroactive dates; a scrolling feature for use in the review of previous ACT transactions; and popup box reminders for aide in creating Nonrecurring Elements. Two New Features Are Available via UAB Self Service
The Employment Verification Form allows employees to obtain a printable verification of current employment information, salary information and history of earnings. Click Employment Verification Form for instructions for using the form.
The Employee Inquiry Form allows employees to view their personal information as it appears in the UAB Administrative System, federal and state tax details, direct deposit instructions, and accrual balances (applicable to bi-weekly employees only). 2005 W2 Information Now Available in UAB Self Service Applications
2005 W-2 forms are now viewable online through UAB Self Service Applications. Online W-2s will list both city and county taxes on the same form. Information for accessing the W-2s is found at UAB Self Service: Employee W2.

Problem Solving Clinics
Problem Solving Clinics for users of the UAB Administrative Systems (Oracle) are scheduled on Thursday afternoons from 2:00 – 3:30 in AB B60. The Administrative Systems Instruction and Development team is available to assist end users with functional problems they may have. The Problem Solving Clinics are held in a computer lab so that users may log onto the system and get hands-on assistance with documents, reports, or locating data. THIS IS NOT A CLASS, but an opportunity for uses to get help for specific problems. Users do not need to register and may come and go during the 2:00-3:30 time period

Session Inactivity Timeouts
A change will go into place on Thursday, September 8, 2005, for session inactivity timeouts. If your "Oracle HR and Finance" session times out due to inactivity, you will see a message informing you of the timeout. Just click OK; your session will be reactivated and then continue to work.

Budget Document Update
When processing a Budget Document, a pop up message will appear to warn the user to process a Funding Source Change first if necessary to cover changes in funding for the end of the current fiscal year. Once a Budget Document is submitted on an employee, a Funding Source Change will not be allowed until the start of the new fiscal year. Also, FTE changes cannot be processed on a Budget Document. A Data Change Document will have to be done for those changes.

New Report: GA Invoice and Cast Receipt Detail by Award
A new report, “GAUAB Invoice and Cash Receipt Detail by Award,” is available for the UAB GA End User responsibility. For a specified award, this report lists in order of transaction date all sponsor invoices and cash receipts.
From the main UAB GA End User menu, select Reports > Run. Click ‘OK’ to ‘Single Request’.
In the request name field, select ‘GAUAB Report Invoice and Cash Detail by Award RPTGA205’.
On the parameters form, enter the award number (required).
If desired, enter a report beginning and/or end date to show only transactions within a date range. Leaving the date parameters blank displays all transactions from the beginning of the award to the present.
Click ‘OK’ to close the parameters form.
Click ‘Submit’ to submit the request.
The completed report will display in Acrobat format.
Any questions on the report may be directed to Grants Accounting at 934-9330.

New Approver History Button on the WAM Form
An Approver History button has been added to the WAM form. By pressing this button, a view of changes to approval paths will be available. Please note that only changes made after August 19, 2005 will be displayed.

Accessing Notification Summary
If you have your browser set to block pop-up windows, you might have difficulty accessing the Notification Summary in Oracle. To correct this problem, you will need to place the Oracle site in your "trusted sites" in your browser. Follow these instructions to do so:
- Turn off your pop-up blocker (in IE, go to TOOLS -> POP-UP BLOCKER -> TURN OFF POP-UP BLOCKER).
- Click on the link for your notifications. It should now open in a new window.
- Turn your pop-up blocker back on (TOOLS -> POP-UP BLOCKER -> TURN ON POP-UP BLOCKER). (The pop-up blocker must be turned on in order to access the blocker settings)
- Copy the URL (the web address in the address bar) of this new window to your clipboard.
- Open the "trusted sites" pop-up option (TOOLS -> POP-UP BLOCKER -> POP-UP BLOCKER SETTINGS...). Paste the address you copied into the field marked "Address of Web site to allow:", and click the ADD button. Close the window.
This should correct any problems with access the notification summary functionality in Oracle.

Change Trainee to Employee & Vice Versa
Please remember to use Transfer Lateral Same and Transfer Lateral Different to accomplish a Trainee to Employee or Employee to Trainee Hire.
Please remember the following:
1) For Trainee to Employee – Records will need the I-9 field completed (and an I-9) if we don’t already have one. The I-9 field will not be updateable on retroactive documents. The I-9 field will only be open once you have completed the assignment and salary form and saved. It is backwards because; we need to know that you are working on a trainee to employee document. We will also require FTE.
2) For Employee to Trainee – please choose Trainee – Not Required for I-9 and there is no FTE required.
3) You may still extend end dates by using Data Change – Records will need letters of extension (please put notes in comments)
4) You may increase stipend/scholarship by Salary Schedule Adjustment (please put notes in comments)
5) You may also Rehire Trainees! You no longer have to send paper to Records.
6) Grant changes may be accomplished by Funding Source Change.

ACT Form Upgrades/Changes Now Available
The Find Window now allows for employee searches to be done by Blazer ID. This functionality has been added primarily to aid deducting departments, but it is available to all users.
Total Number of Assignments on the Main Form has been changed to Total Active Assignments. The original total included both active and terminated assignments which could be confusing to users. The new total only includes those assignments that are currently active.
A validation has been added at submit for Document Reasons New Hire and Rehire. These will now require a Campus Address before you are allowed to submit either document.
The Labor Sources Form now provides a Total LD % at the bottom of the form for both Assignment and Element Costing. This total will include all currently active lines in the scroll down window. Also, a validation has been added at submit for any Document Reason that allows for update of the Labor Sources Form to require 100% total Costing.
The Department List field has been removed from the Directory tab. This field has never been used for the Telephone Directory, so it was removed to eliminate confusion of some users.
The date in the Projected Last Day at Work field on the Termination tab now clears automatically when an employee transfers from an irregular status to a regular status. This change brings the form in line with current policy and practice.

Terminations for Employees with Multiple Assignments
Please pay close attention when terminating an employee that has multiple assignments. You will notice that a warning message is displayed for such an employee, and we ask that you please verify if the other assignments should end as well before proceeding with the termination.

View Faculty Data Form
An online view of faculty data is now available in Oracle. There is now a menu option called "View Faculty Data Form" included with the HR Officer Responsibility. With this new form you can review data related to faculty appointments. The Find Window of the Faculty Data Form works similar to the ACT Find Window. With it, you are able to search for individual faculty via name, employee id or search by Organization.
Please take some time to review the data on faculty in your respective areas for accuracy and completeness. Feel free to contact HRM Records Administration at 4-4408 with questions regarding the form and/or the data presented.

Address and Phone Number Information
Address and phone number information can now be deleted on the ACT Address Form by "checking" a check box next to the information that you would like deleted. Home address information still cannot be deleted, but it can be changed.

ACT Labor Sources Form Change
The ACT Labor Sources Form has been updated to include check boxes that indicate if an LD line is being pulled from the application rather than a line that is being added by the user. This will be useful when making changes on an employee that has many LD lines, and the user has to scroll up or down to review the changes made.

Credit Course Instructor Element Payment Change
An Element payment using Credit Course Instructor will now require that the Transcript on File and Degree Discipline information for the Highest Degree be completed first before processing the payment. This is required to stay in compliance for SACS.

UAB Financial Transaction Download Files
After Oracle Finance go live October 1, users expressed a need to get detail Oracle financial transaction information in an excel format. This capability was added to Production yesterday and is available to all users with UAB GL End User and UAB GA End User responsibilities.
The UAB Transaction Download provides the “detail” version of the Account Statement transactions in an Excel format.
To access the UAB Transaction Download:
- Click on the menu inside either the “UAB GL End User” and “UAB GA End User” responsibilities depending on whether GL or GA data is needed.
- Each of those responsibilities will contain ability to do the UAB Transaction Download for their respective module.
To create the UAB Transaction Download:
- Enter the parameters just as you normally do in the “Accounts Statements” form (MAST). The UAB Transaction Download input form is very similar in design.
- After you are finished entering the parameters, click on the “Run Report” button. Record the request number.
- Click on “View” on the Toolbar and then click “Requests” in the dropdown menu.
- Click the “Find” button on the View Requests window to view your requests.
- After the request is completed, click on “View Output” button. A window will open with XML “program” code in it. Don’t worry; this is normal.
- Go to the Toolbar and click on “Tools” and then “Copy File” in the dropdown menu.
- A Viewer Option window will open and with Excel in the LOV; Click OK. Next a file warning window will open; click OK on that window too.
- The file should now open up on your computer in Excel.
There is a maximum row limit in the download of 65,000 lines. If your query exceeds that amount of rows returned, you will receive an error message upon opening the completed request asking you to run a query that returns fewer rows.

Payment Request Encumbrance Change
The encumbrances for Payment Request will now occur after the last user approval in workflow. The encumbrances previously occurred at original requestor submission. We have moved the generation of encumbrances until after all the user approvals to allow for all account/purchase decisions to be resolved before the encumbrances are generated. If it is decided during user approvals that the account distribution for a particular purchase should be changed or the entire Payment Request should be cancelled, it can be done without creating encumbrance entries. This change will have no effect on the Purchase Order Requisitions.

Running Monthly Account Statement Reports
The security for the Monthly Account Statement Balances (MASB) and Monthly Account Statement Transactions (MAST) has been updated. The Grant MASB and MAST submission forms will only appear on the Grant (GA) responsibilities and General Ledger MASB and MAST submission forms will only appear on the General Ledger (GL) responsibilities. Both of the GA and GL tabs on the MAS had previously appeared on each of the GA and GL End User responsibilities. This change was implemented to ensure that organization access security rules would not be bypassed by running MAS reports while in the incorrect responsibility.

Entering Vendor Name on Requisitions with Multiple Lines
Because only one vendor is used on a requisition, requestors are not required to enter the vendor name on each item line. If the vendor information is completed on any line, the vendor information will be populated when a Purchase Order is created.

Monthly Account Statements
The Monthly Account Statements (MAS) have been distributed electronically and may be accessed via the Worklist. Individuals receiving the MAS will receive separate notifications for the different reports: GL MAST (transactions), GL MASB (balances), GA MAST and GA MASB. These reports will be distributed separately and will not appear at the same time in the Worklist.

Application System and navigate to your Workflow Notification Queue

List. You will see the notifications listed on this screen. After
opening
your notification you will see a link 'View Report'. By clicking on

link your report will be opened in a PDF viewer from which you can
view,
print, save, or re-distribute based on your version of Adobe.

ACT Schools and Colleges Form - Delete Feature
The ACT Schools and Colleges Form now has a delete feature
that will
allow a user to delete a line of information from the form. Simply
place a "check" in the Delete Checkbox next to the line of
information
that you would like to delete, save the form, and then submit it.
Once the document is marked "Complete", the line of information
"checked" for deletion will be removed from the Oracle database.

Effective Dates For Transfers
Monthly to Monthly transfers can have any Effective Date.
Biweekly to Monthly transfers must have a Sunday Effective Date. This is necessary because ACT considers the person as biweekly until the document is Complete.

New Functionality: Additional ACT Form Employee Notification Information List of Values.
Please notice when approving an ACT Budget Form document reason, the following information will be displayed in the body of the notification for the employee:
Assignment Number, Job, Old Rate, New Rate, Component Reason, and Percent Increase.
This added information should allow the approver the option of going to the ACT Form to view the details, or to just view the details in the body of the notification.
