Letterhead

UAB has two types of letterhead formats. Most administrative and service units will use standard letterhead. Units requiring specialized letterhead include

  • schools
  • university foundations (like the UAB Research Foundation)
  • Board of Trustees-designated centers
  • UAB Medicine and its components
  • Board of Trustees-designated centers
  • major facilities that are not part of the UAB Health System or UAB Hospital (like Mervyn H. Sterne Library); for more information on these facilities, contact UAB Health System Marketing

 

1.  With both types of letterhead, there are two grade options for printing the UAB monogram:

  • two-color, premium-grade paper, logo embossed in the official UAB green
  • one-color, economy-grade paper, logo printed in black ink

In both cases, the second sheet should be the same paper grade with no printing.

 

2.  For standard letterhead, the university's wordmark appears next to the monogram. Specialized letterhead will replace the university wordmark with the wordmark of a school, foundation, center, facility, or UAB Medicine.

 

3.  The second line lists major components of the university or a school, foundation, center, facility, or UAB Medicine. For standard letterhead, components include:

  • a cabinet-level unit (like Office of the Provost or Office of the Vice President for Financial Affairs and Administration)
  • a unit that reports directly to the president (like the athletic department or Governmental Relations)
  • an associate provost- or associate vice president-level office reporting to either the vice president for development, alumni, and external relations or the vice president for financial affairs and administration (like the Office of Public Relations and Marketing)

For specialized letterhead, components include:

  • departments within schools
  • departments or units within foundations
  • departments within major facilities not part of the UAB Health System or UAB Hospital
  • departments, clinics, or services of the UAB Health System facilities

All unit names on the second line should be official names (Department of Philosophy, NOT Philosophy Department).

 

4.  The UAB watermark insignia appears on all letterhead.

 

5.  Both types of letterhead provide space for the official name of a division or subunit of the component listed in the second line (see section 3; examples include the Division of Endocrinology and Metabolism and the Neurobiology Graduate Program).

 

6.  The correct physical address for each unit is supplied by the UAB Print Plant and must follow this format:

Room Number and Building Name

Street Number and Street Name

Phone Number (in format 205.934.1234)

Fax Number (designated by "Fax:")

 

7.  Directly to the right of the address bar, specialized letterhead must include the university's full name. Standard letterhead provides space for optional e-mail and Web addresses.

You can create shortened aliases for long e-mail addresses through the UAB Electronic Phonebook (www.uab.edu/phonebook) and for long Web-site addresses through UAB Web Communications.

 

8.  U.S. Postal Service guidelines have assigned three possible mailing addresses for the UAB campus. The UAB Print Plant will determine your address and ZIP code when you order stationery. All mailing addresses must follow this format:

Mailing Address:

BUILDING ABBREVIATION AND ROOM NUMBER

STREET NUMBER AND NAME (assigned by U.S. Postal Service)

BIRMINGHAM AL XXXXX-XXXX

The mailing address must be printed in all capital letters with no punctuation.

 

9.  For specialized stationery, any remaining space on either side of the address bar can be used to list unit e-mail or Web addresses.

10. For both types of letterhead, the bottom right corner provides space for one secondary icon specific to your department, grant, program, or office (for example, the Athletic Department shield or the National Cancer Institute designation for the Comprehensive Cancer Center).

Before ordering stationery, all secondary icons must be approved by the Office of Public Relations and Marketing (934-9430).

 

11. All correspondence must follow these guidelines:

Text must be printed flush left, ragged right in Times Roman or an equivalent font.

Margins:

  • Left: 1 1/8" (or 1.125"; the left margin should line up with the left edge of the B in the UAB monogram)
  • Right: 1"
  • Top: 1 1/2"
  • Bottom: 1"
