UAB Campus Email Service Description

UAB has deployed Microsoft Exchange, a messaging and collaboration software product, as its campus email system.  This service has been designed for high availability, performance, security, and growth.  Extensive database redundancy, and off-site disaster recovery, minimizes downtime during failures or scheduled maintenance.

The system features email, calendaring, contact, and task management functions.  Additionally, UAB campus directory information can be accessed from within the system’s Global Address List (GAL) to facilitate contact with other users across the institution.  Spam filtering, anti-virus protection, and data encryption are included to mitigate risks.

Email Service Support and Access

The service is available 24 hours a day, 7 days a week for all students, faculty, and staff.  End user support assistance is available by contacting AskIT at 996-5555 or This e-mail address is being protected from spambots. You need JavaScript enabled to view it within their normal working hours.  Limited after-hours support is available for emergency situations impacting multiple users.

To setup a new email account, please visit www.uab.edu/blazerid, select “Get a UAB E-mail Account” from the links on the left side of the page, log in, and follow the appropriate instructions.

The email service can be accessed from a web browser by visiting https://mail.ad.uab.edu.  In addition to the web interface, users may access the service using an email client such as Outlook or by using an appropriately configured mobile device.  Supported mobile devices include most iPhone, iPad, Blackberry, Windows Mobile, and Android devices. 

Student mailboxes are limited to 1 GB of space.  Staff and Faculty may have larger mailboxes and may request email archive support for email storage beyond 5 GB.  All attachments are limited to 30 MB in size.  Larger files should be transferred using the UAB Drop Box: http://dropbox.dpo.uab.edu

Technical Details for Email Access

The email service may be accessed using any properly configured client that relies on POP or IMAP.  The latest version of most web browsers may also be used as well as ActiveSync mobile devices.  Please note that any device or email client using one these methods to connect with the system must support the use of SSL encryption. 

Supported MAPI-based clients include Outlook 2007 and later for Windows PCs.  Mac clients supported via Exchange Web Services include Entourage 2008 Web Services Edition and Outlook 2011.

Spamblocker

Spamblocker Features Summary

UAB's Spamblocker service protects all users of Central Exchange and all @uab.edu email addresses. The following is a brief summary of the features provided by this service. For more information, please refer to the Spamblocker User Instructions.

The Spamblocker service classifies messages as "Adult Spam," "Definite Spam," "Possible Spam," or "Not Spam".  All users are protected from spam on a default level preset by the Information Security department.  If users choose to do so, they can select one of the three other policy settings. The Aggressive policy automatically deletes "Adult Spam" and "Definite Spam", while "Possible Spam" is sent to quarantine and "Not Spam" is sent to the user's inbox.  The Cautious Plus (same as the Default policy) policy automatically deletes "Adult Spam", while "Definite Spam" and "Possible Spam" are sent to quarantine and "Not Spam is sent to the user's inbox.  The Cautious policy sends "Adult Spam", "Definite Spam" and "Possible Spam" to quarantine, while "Not Spam" is sent to the user's inbox.  User can choose to opt out altogether, allowing all messages of any classification to be sent to their inbox.  All policies and their affect on spam are summarized in the chart below:

*The "Default" policy is equivalent to the "Agressive" policy.

The following is a list of new spam blocking features, and a brief description:

Digest Email - Users will receive a daily email digest listing all emails being held in Quarantine from the previous day.  It will appear in their inbox from the address ' This e-mail address is being protected from spambots. You need JavaScript enabled to view it '.  If ignored, quarantined messages will be automatically deleted after 7 days.  *Note:  If the user does not wish to receive the digest daily, there is an option to turn off this feature.  The following actions can be taken from the digest email:

  • View a message that is sent to Quarantine.  The user will be prompted to log into the Spamblocker program prior to viewing the message.
  • Release a message from Quarantine and send to the user's inbox.
  • Safelist a message if a user chooses to add a sender to the Safe Senders List.  The system will then recognize the address as safe and forward any future emails from this address to the user's inbox.
  • Not Spam allows the system to recognize that the message is legitimate, and comparable messages sent in the future should not be marked as spam.
  • Request a New End User Digest allows users to receive an updated copy of their digest.
  • Request a Safe/Blocked Senders List allows users to receive a message listing email addresses and domains that are in their Safe Senders List and Blocked Senders List.
  • Manage My Account takes the user to the Spamblocker login screen where they can log in to manage their lists, profile and quarantine.

Lists - From this section, users can view and manage their Safe Senders List and Blocked Senders List.  Lists give the user the additional functionality of managing email from specific email addresses.  To view either of the lists, click the link in the left side navigation bar on the User Account screen.  From both the Safe Senders List and Blocked Senders List, the user can take the following actions:

  • Logout - Logs users out of their Spamblocker account.
  • New - Allows users to enter an address to be added to a list.
  • Edit - Allows users to edit a selected sender's email address.
  • Delete - Allows users to delete the selected email addresses from a list.
  • Lists - Helpful functions that allow users to Select All of the email addresses, Unselect All of the email address, Request Digest be emailed to them or Refresh the Quarantine list view.

Profiles (Spam Blocking Policies) - From this section, users can edit their Settings and Account.  To view either of these, click the link in the left side navigation bar on the User Account screen. 

  • Settings allows users to change functions in Spamblocker that will effect what email is blocked and the receipt of a daily digest.  *Note:  Users only need to take action if they wish to change their default settings.  Users may perform the following functions:
  1. Send digest with new messages in my Spamblocker - End User Digest - The default setting is that users will receive an End User Digest daily each morning.  If the user does not wish to receive the digest, they should deselect this option and select Save to finalize.
  2. Send digest even when I have no messges in my Spamblocker - End User Digest - By default, users will not receive an End User Digest if no emails have been classified as spam during the previous day.  If the user wishes to receive a digest even though there are no new spam emails, they should choose this option and select Save to finalize.
  3. Preferred Language - The default language is English.  If the user wants to change the language, they should choose the appropriate language and select Save to finalize.
  4. What type of spam detection do you want?  Please select a policy from the list below. - Users are initially set to the Default policy.  Users do have the option to switch policies.  If users change the current policy, they must select Save to finalize.
  • Account allows users to see which of their email aliases are being protected by Spamblocker.  If you have an account that is not listed, please contact AskIT by email, or phone at 205-996-5555.  The user may perform the following functions: 
  1. Logout - Logs users out of their Spamblocker account.
  2. Lists - Helpful functions that allow users to Request Digest be emailed to them, or Refresh the displayed list.

Preparing Your Computer for Use at UAB

Incoming students are required to verify that their computers are up-to-date with the latest patches and antivirus software. This step must be completed prior to connecting to the UAB network using a wired Ethernet (in residence halls only) or wireless (Wi-Fi) connection. Please follow these steps to prepare your computer. When you have prepared your computer, click the link in Step 4 to verify that you have the correct settings.

1. Ensure that your computer is running a valid, licensed operating system. For students, UAB supports PCs with Windows XP with Service Pack 3, Windows Vista with Service Pack 2 and

Windows 7 with Service pack 1. UAB also supports Macs with OS X 10.6 or later. 

2. Check for updates that are available for your operating system. Windows operating systems can be updated by visitingwww.update.microsoft.com

Mac OS X operating systems can be updated by clicking on the Apple icon in the Menu ribbon and choosing Software Update.

3. Ensure that one of the antivirus applications in the list below is installed. Microsoft Forefront and Microsoft Security Essentials are free of charge to students and can be downloaded at the links provided. Contact the AskIT Help Desk at 205-966-5555 for assistance with antivirus issues.

    Mass Email Requests

    Any one-time message addressed to multiple recipients that needs to be sent from a "special" address rather than a user’s personal address is considered a mass email. Mass e-mails sent to all faculty, staff and students are reserved for special circumstances and require special permissions based upon organizational hierarchy. Ultimately, these requests will require approval from the Office of the Provost. To initiate the process, please complete the AskIT Mass Email Request form. Once the permissions are granted, Central IT will construct the lists and send the e-mail. When submitting your request, please indicate the required send date and allow seven business days for completion of the request. These requests are handled by Infrastructure Services.

    Checklist

    1. Approvals:
      • Emails to large numbers must be approved based upon the organizational hierarchy. If the message is addressed to all faculty, staff and students, then a Provost/President level approval is required. Deans can approve for their school, VP for Student Affairs can send to all students, etc.
      • Sending to recipient addresses that are not in the phonebook is problematic, and may cause complaints and/or outside mail services to block email from UAB. If this is required, special approval will be needed.
    2. Date and Time: Date and time to send the message (off hours if possible), at least 7 days before the mailing is to be sent.
    3. From: A valid From: address must be provided (usually a Resources or other non-personal departmental account); if none is provided, the requestor’s address will be used.
    4. Subject: Requestor must provide a Subject: line for the message.
    5. Format: The preferred format is text-only; any additional formatting may be lost or altered.
    6. Links: If the message has clickable links embedded in it, the visible URL must match the "real" URL, or the message will most likely be flagged as a phishing attempt and rejected by some mail systems.
    7. Recipients: Recipient email addresses (to request a subset of Faculty/Students/Employees, the ticket must be assigned to both TUCC: Bill Laughlin and UNIX Group: Ed Harris)

    Please note:

    A report will be sent to the requestor containing the number of emails sent, and the number and addresses not sent with reason. If time permits, this info will be provided before the email is sent.

    If a major discrepancy is found, the email will not be sent until the requestor is consulted. If necessary approvals are not submitted within this timeframe, the email will be delayed. A copy of the approval must be attached to the Footprints ticket before sending the email.

    Using the UAB Wireless Networkwifi

    UAB IT provides a wireless network in support of the academic, research, and administrative work of the UAB community. This wireless network serves classrooms, common areas, green spaces, and many other popular areas around campus.
