POLICY CONCERNING OFFICIAL ROOM NUMBERS

Background

The correct identification, by means of room numbering, for individual rooms/areas/spaces occupied by UAB personnel, programs, and equipment is important in the day-to-day operation of UAB. The proper design and location of room number signs facilitates locating and identifying individual rooms and enhances the interior appearance of UAB's buildings.

Policy Statement

All rooms/areas/spaces under UAB's control will be designated by official room numbers. Each room/area/space is to have one official room number, and no other room number will be displayed for public purposes. Existing conditions in which dual room numbers exist for the same space will be reviewed on a case-by-case basis. If such dual room numbering must continue, the "unofficial" room number will be displayed in such a manner as not to be confused with the official room number.

Cost Analysis in the Office of the Associate Vice President for Financial Affairs is responsible for assigning official UAB room numbers (both in existing spaces/buildings and in renovated or new spaces/buildings) and for ensuring that the posted room number plaques display the official room number in the approved manner outside each room.

Design Standards: The standards for design of a room number sign and for designating the physical location for the sign is the responsibility of the Office of the Associate Vice President for Facilities. All room number sign standards must be in compliance with applicable building codes and with local, state, and federal laws and regulations. Room number sign standards will be submitted to the UAB Campus Planning Committee for final approval.

The UAB University Hospital has an established, overall information sign system of which room number signs are a subset. The design standards of this information sign system will be retained for facilities under the operational control of UAB University Hospital until such time as building codes or laws necessitate a change to those standards.

Existing Spaces/Buildings: For non-Hospital buildings, in those instances in which existing room numbers are being corrected or in which non-existent room number signs are being installed, the acquisition and installation of room number signs is the responsibility of Cost Analysis working through the appropriate UAB unit. The funding for costs incurred for installing corrected or non-existent room number signs in existing non-Hospital spaces or buildings will be provided from institutional funds. The funding, acquisition, and installation of room number signs in existing Hospital spaces and buildings is the responsibility of UAB University Hospital.

Renovated or New Spaces/Buildings: Room number signs required as a result of physical changes to existing rooms or room number signs required in new buildings must be specified in the renovation/construction documents and must conform to the approved design and location standards. If during the course of bidding, contract award, or construction activities changes are made in the facility design which would impact room number designations, the Office of the Associate Vice President for Facilities or the Associate Vice President's designee is responsible for working with Cost Analysis to obtain new or revised room numbers as required. The official room numbers must be posted (temporarily, if necessary) before a new building or renovated area is occupied. The acquisition and installation costs for room number signs in renovated or new spaces/buildings will be included in the total project costs, and the means by which the signs will be acquired and installed will be the responsibility of the Office of the Associate Vice President for Facilities.

Acquired Buildings:
Before a newly acquired building is used for UAB activities, all of its UAB-occupied spaces must be identified (temporarily, if necessary) by official UAB room numbers. If modifications are made to a newly acquired building, the acquisition and installation of room number signs will be addressed as outlined in the "Renovated or New Spaces/Buildings" section of this policy. If no space modifications are made when UAB occupies a newly acquired building, the acquisition and installation of room number signs will be addressed as outlined in the "Existing Spaces/Buildings" section of this policy.

Rented/Leased Space: Space that is rented or leased for use by UAB also must have room numbers which identify all individual rooms. Existing room numbers will be used when practical and feasible. The right of UAB to display its own official room numbers will be included in rental/lease agreements. The funding, acquisition, and installation of UAB-supplied room number signs, if required, will be addressed as outlined in the "Acquired Buildings" section of this policy.

Implementation

Cost Analysis and the Office of the Associate Vice President for Facilities are jointly responsible for developing procedures to implement this policy. Various offices are responsible for different aspects of the implementation. Cost Analysis is responsible for overall coordination of procedures necessary for implementation.
