Policy 406 – Vacation, Sick Time and Personal Holiday Records

Accrual reports are made available in UAB Report Viewer for each department every pay period. This report includes biweekly employee accrual balances for vacation, sick time and personal holidays. These reports should be reviewed as they are received. Any questions or discrepancies should be investigated immediately.
The current balances on each biweekly paid employee are available through Oracle Self Service and are also located on the printed pay stubs.
Employees should contact their supervisors for information concerning discrepancies in their vacation/sick time or personal holiday balances. If supervisors have questions accruals, they may contact Records Administration at 4-4408.
Once time is reported as either vacation or personal holiday, it cannot be switched from one to the other without a supervisor’s approval.
When a biweekly paid employee reaches their two year maximum vacation accrual, excess vacation accruals will be transferred to sick time.
Vacation, Sick time and Personal Holiday records for monthly paid employees are maintained by each department. A department representative should be responsible for keeping track of time accrued and time used. The ALAS (Automated Leave Accrual System) program has been developed by the HRM Technology and Data Services to provide the UAB community with a universally accepted methodology for monthly paid employees leave accrual and usage tracking.
On December 31 of each year, excess vacation over the two year maximum allowed for monthly paid employees must be transferred to sick time for those employees by the departmental representative assigned to maintain the accrual records.
