Both Box and OneDrive (signup.live.com) are available to anyone by signing up for a free account using your email address. There are some limitations on the storage size in a free account; however, the free account should provide ample space for most file transfers.

You should open a request for Information Security through the IT Service Portal. Needs will be addressed on an individual basis.
These are examples of Restricted Data that are not approved:
  • HIPAA/personal health information
  • Social Security numbers
  • Credit card numbers (PCI DSS)
  • GLBA data
  • Export-controlled data
  • FISMA-regulated data
  • Log-in credentials
  • Information protected by non-disclosure agreements.
Handling restricted/PHI data with UAB Box is permissable, but only with a completed risk assessment by the UAB Health System. Sharefile is the preferred method for tranferring files for the UAB Health System. Click here for more information.

Sensitive data may be transferred; restricted data may NOT be transferred. Refer to the Data Classification Rule. This rule applies to ALL UAB systems. If you need to transfer sensitive files outside of UAB, you should consult with Information Security beforehand.

All you need is a web browser and internet connectivity. Should you want a "shared drive" listed in your Mac Finder or Windows Explorer, the OneDrive or Box Sync clients will need to be installed.

In Box, it is unlimited. OneDrive is 1TB.


Yes; however, single sign-on (SSO) login cannot be used today. You must set a local password on Box.

Yes. If you have this need, please open a request in the IT Service Portal.

No, the files should be manually deleted if no longer needed. We suggest creating a folder specifically for files you send to make this task easier.

Box and OneDrive are the only vendors for which the UAB Campus has a contract. Others should not be used to store or transfer UAB data.
