Access to most of UAB's electronic systems is dependent on an individual having an active appointment in ORACLE.  Many incoming faculty and staff need access to UAB's Integrated Research Administration Portal (IRAP) and Learning Management System/HealthStream (LMS) before they officially start at UAB in order to begin moving their research programs from their previous institution to UAB.  The following process will allow departments and divisions to sponsor incoming faculty and staff access to IRAP and the LMS before their ORACLE appointments are active.  

  1. Incoming faculty and staff apply for a Blazer ID through Blazer ID Central.  Departments can use the One-Card Pre-Hire Form to start the process to request a Blazer ID.
  2. UAB employee (sponsor) from the hiring department or division completes and submits the Incoming Faculty/Staff Access Form below.  (The Blazer ID must be noted on the Incoming Faculty/Staff Access Form to ensure proper identification of the user and to ensure that the individual does not have to repeat any LMS training when they arrive at UAB.)
  3. IRAP office receives the Incoming Faculty/Staff Access Form and sets up an external access account.  IRAP Office also notifies the LMS Administrator.  
  4. IRAP
    1. IRAP Office notifies the incoming faculty member and the departmental sponsor that IRAP access has been granted.  
    NOTE:  The external access account works ONLY for IRAP.  While accessing IRAP through this temporary arrangement the incoming faculty member uses a non-UAB email address (rather than a Blazer ID) and password.
    1. Once incoming faculty member is active in Oracle the Incoming Faculty/Staff Access Form departmental sponsor notifies the IRAP Office.
    2. The IRAP Office transfers information from the temporary, external access account to the permanent account and notifies the new investigator to use a Blazer ID (rather than the non-UAB email address) to log in. 
  5. LMS
    1. The LMS Administrator provides the incoming faculty member with instructions for logging into the LMS using a non-UAB link.  The incoming faculty member will be able to use a Blazer ID and false Blazer ID password to log in using the non-UAB link.
    2. Once the incoming faculty member is active in Oracle, the LMS will automatically transfer the training records to the new faculty member's permanent record.  (The non UAB link will automatically become inactive)
NOTE:  Training may have to be repeated if these directions are not followed!
