POLICY STATEMENT
THE UNIVERSITY OF ALABAMA AT BIRMINGHAM
DIVISION OF STUDENT AFFAIRS

  1. The Board Room is located on the Third Floor, Room 325, of the Hill University Center.
  2. The Board Room is available to be scheduled by UAB departments for VIP-type functions (meetings, receptions, luncheons, dinners). Non-UAB groups are not permitted to use the Board Room. Reservations are made through the HUC Room Scheduling Office (HUC 125) at 934-8100
  3. In order that appropriate accommodations may be provided, reservations should be made two weeks in advance when possible. A Facility Reservation Request form must be completed and appropriate signatures must be obtained. The Hill University Center Scheduling Office reserves the right to decline any function deemed inappropriate for the Board Room.
  4. Any equipment requests such as audio-visual equipment, additional chairs or tables, podiums, etc., should be made on the Scheduling Request form. Any late equipment requests should be phone in to 934-8100.
  5. Individuals or groups will be held responsible for long distance phone calls and any associated charges made during the time of their scheduled event.
  6. For reservations involving food and beverage service, arrangements must be made through UAB Campus Restaurants at 996-6565. Use of caterers other than UAB Campus Restaurants is prohibited. Individuals and groups are prohibited from bringing their own food, soft drinks, punch, coffee, etc., to be served. The use of paper or plastic products is not allowed.
  7. Special arrangements may be made for serving alcohol in the Board Room. All events must comply with the UAB General Policy Regarding the Use and Consumption of Alcoholic Beverages and the related Student Affairs policies. The request form permitting the use of alcohol must be completed and approval must be obtained. A lease fee must be paid.
  8. All requests must be approved by the Assistant Vice President/Student Facilities and Finance. At the Assistant Vice President’s direction, exceptions may be forwarded to the Vice President for review and approval.
