  • How do I log in to Taleo?

    Visit my.uab.edu. Single sign-on (BlazerID/Password) will direct you to your recruitment dashboard. This central location will allow you to view all of your requisitions/candidates at a glance in one location instead of applicants being emailed.

  • Can I manage multiple candidates in the Taleo system?

    Taleo will allow you to organize a large volume of candidates as you move them through the interviewing and hiring process. The ability to move a candidate into specific steps/status will help ensure that the appropriate candidates are interviewed. Email communication to the recruiter for creating an offer is generated in the system.

  • What can I do in the Taleo system?
    • Ability to generate and email a candidate detail list to share with your hiring team.
    • Ability to appoint collaborators in the system that can log in and view the candidates.
    • Ability to export a list of candidates to Excel to make notes about the candidates you have interviewed and/or reviewed for better organization.
  • Who has access to the Taleo system?

    All full-time employees in Oracle. This excludes: Students (06, 11), Interns (07), Trainees (20, 46), Volunteers (60)

  • What is a Candidate Selection Workflow?

    Candidate Selection Workflow is a stepped methodology where applicants to a job are selected as a candidate and proceed through the various steps toward being hired for the position, or for disposition of candidates who are no longer being considered. The process of moving a candidate through the Workflow is defined by the Workflow steps* and the candidate's status** at each step. This is the point where either a candidate is moved forward to the next step, or it is determined that they will not be selected and the reason why.

    *Step: A candidate's progression within the Workflow is identified by its current step. Candidate status starts at the first status level in each step. Status is changed based on what actions are taken with the candidate while they are in this step. There is a built-in hierarchy of available status within each step.

    **Status: The status of a candidate reflects the detail of where they are currently within the step. There is a defined hierarchy of status within each step. Movement through the available status is caused by completing intermediary status requirements, which causes a move to the next status, until the completion status is reached (completion statuses are marked with an "*" in the status drop-down menu). Once the completion status has been reached, the candidate moves to the next step, or is not selected or candidate withdrew. Candidates can be determined not selected or candidate withdrew at any time during any step or status. When a candidate is not selected or chooses to withdraw, disposition of the candidate should take place. The step would stay the same, the status would be changed to not selected or candidate withdrew. This way the candidate history is retained and can be easily viewed for future candidate searches.

  • What is a MGM Collaborator?

    The MGR Collaborator can log in to the system and VIEW candidate information. MGR Collaborators do NOT have the ability to modify the requisition or update a candidate’s step and status. The Collaborator will be assigned to the requisition by central HR at the request of the Hiring Manager. The Collaborator will not receive automated notifications from the system when new candidates are added to requisitions however, they can check the system or the Hiring Manager can forward notifications.

  • How do I access my candidates by job?
    1. Log In with your BlazerID and password
    2. Click View Requisitions
    3. Locate the job you wish to work with
    4. Click the number of candidates located to the left of the requisition title
    5. You are now viewing the candidate pool for one job

    Do not navigate by clicking View Candidates or Candidates on the toolbar. This view is to review all of your candidates for all jobs and will make it difficult to determine which job you are working with.

  • How do I notify the recruiter to create offer for a candidate?

    If the individual is in HM Screen/To Be Reviewed or any status under the HM Screen step:

    1. Click View Requisitions
    2. Navigate to the Requisition/Job
    3. Click the number of candidates located to the left of the Requisition/Job title
    4. Select the candidate by placing a check mark to the left of their name or clicking their name to open their profile
    5. Click More Actions
    6. Click Change Step/Status
    7. Verify you are in the HM Screen step
    8. Drop down the status menu
    9. Click Passed HM Screen
    10. Click Save & Continue
    11. Verify you are in the HM Interview Step – DO NOT CHANGE THIS STEP
    12. Drop down the status menu
    13. Select Create Offer*
    14. Click Save & Close
    *If you use Click Save & Continue on the HM Interview Step, you will be in the next step and status. PLEASE CLICK CANCEL IF YOU FIND YOURSELF IN THE "OFFER" STEP.

    If the candidate is already in HM Screen/Passed HM Screen step/status:

    1. Click View Requisitions
    2. Navigate to the Requisition/Job
    3. Click the number of candidates located to the left of the Requisition/Job title
    4. Select the candidate by placing a check mark to the left of their name or clicking their name to open their profile
    5. Click More Actions
    6. Click Change Step/Status
    7. This will automatically place you in the HM Interview Step — DO NOT CHANGE the step from HM Interview.
    8. Drop down the Status menu and scroll to the bottom of the list and select Create Offer*
    9. Click Save & Close
    *This will automatically send an email to the recruiter notifying them to create an offer for the individual candidate. If you use Click Save & Continue on the HM Interview Step, you will be in the next step and status. PLEASE CLICK CANCEL IF YOU FIND YOURSELF IN THE "OFFER" STEP.
  • How do I disposition a candidate that I did not interview?
    1. Click View Requisitions
    2. Navigate to the Requisition/Job
    3. Click the number of candidates located to the left of the Requisition/Job title
    4. Select the candidate by placing a check mark to the left of their name or clicking their name to open their profile
    5. Click More Actions
    6. Click Change Step/Status
    7. The candidate will be in the HM Screen Step
    8. Drop down the Status menu and select the appropriate HM NOT Selected status
    9. Click Save & Close
  • How do I disposition a candidate that I did interview?
    1. Click View Requisitions
    2. Navigate to the Requisition/Job
    3. Click the number of candidates located to the left of the Requisition/Job title
    4. Select the candidate by placing a check mark to the left of their name or clicking their name to open their profile
    5. Click More Actions
    6. Click Change Step/Status
    7. If you haven’t moved the candidate to the HM Interview Step follow these steps:
      • Drop down the Status menu and select Passed HM Screen
      • Click Save and Continue to move to the HM Interview Step
      • Drop down the Status menu and select the appropriate HM NOT Selected status based on the results of the interview
      • Click Save & Close
    8. If you have already moved the candidate to the HM Interview Step follow these steps:
      • Drop down the Status menu and select the appropriate HM NOT Selected status based on the results of the interview
      • Click Save & Close
  • How do I disposition in bulk?
    1. Click View Requisitions
    2. Navigate to the Requisition/Job
    3. Click the number of candidates located to the left of the Requisition/Job title
    4. Select multiple candidate by placing a check mark to the left of their names (Candidates must start in the same step and status to disposition in bulk)
    5. Click More Actions
    6. Click Change Step/Status
    7. You can disposition from the HM Screen or HM Interview Step
    8. Drop down the Status menu and select the appropriate HM NOT Selected status
    9. Click Save & Close
