Privacy Awareness Course (Required)

HR takes data privacy seriously. All consumers of HR data are required to complete the HR Privacy Awareness Course in the Campus Learning System. The purpose of this course is to introduce HR data users to UAB's Information Security and Privacy framework and help minimize the impact from security and privacy events resulting from inappropriate use of employee information.

Request & Use Guidelines

Certain data maintained by Human Resources is considered Restricted and only to be used for federal, state, or legal mandates. Other purposes, including those internal to UAB, require explicit permission from the employee and such permission must be obtained for each business need. This applies to:

  • An employee’s personal contact information, including home address and home or mobile phone numbers.
  • An employee’s date of birth or date of death.
  • An employee’s government-issued identification number, such as a driver’s license number, Social Security number, or taxpayer ID.

Additionally, an employee’s protected demographic details must be used in aggregate and are jointly governed by Human Resources and the Office of Diversity, Equity & Inclusion. This includes:

  • Race
  • Ethnicity
  • Gender

Requests to view, use, or access this data must be approved by the appropriate HR Data Steward and are reviewed on a case-by-case basis.
