Should my study be reviewed by CBR?
If the study submission includes clinical activity procedures or labs (listed on the protocol schedule of events) to be billed through the HSF (MCO) and/or the UAB Hospital (PFS) billing offices, the study is required to be reviewed by CBR. These activities, also known as clinical billables, may be both billed to the study sponsor and/or standard of care and billed to insurance.

How do I access RedCap and OnCore for study submission?
The RedCap and OnCore systems, facilitated by the OnCore Calendar Services team (OCS), is the front door and initial point of contact to begin the study submission CTMS process. What pertinent and helpful information should be included on the study billing plan?
It is required that the study activities (including non-billables) listed on the protocol Schedule of Events/Study Schema are listed on the study billing plan.

How do I format the billing plan for review by the CBR team?
Please use the Bill-to-Designation legend to identify study activities, and the comments/notes text box on the submission form to provide helpful details about the study for review. Identify any uncommon location abbreviations at the bottom of the billing plan to ensure facilitation of proper pricing information. Also, be sure to itemize and list one CPT-coded activity per line for each UAB billable activity, for accurate calendar building and budget purposes.

Are the codes and pricing for study procedures and labs generated in the CBR office?
No, CBR does not generate the coding and pricing associated with the various study submissions in-office, instead facilitates requests to the various entities assigned to retrieve the information. CBR receives the requests within the coverage analysis process and completes the process once the fees are received by forwarding the fee information back to the therapeutic areas’ study coordinators. Typically, the duration of the review process is between 2-10 days, with the occasional unexpected outliers.
