UAB is committed to protecting the health and safety of students, faculty, and staff, as well as visitors to our campus, while serving the Birmingham community. It is critical that everyone on campus take precautions to minimize the spread of COVID-19.

Visitors to the UAB campus are expected to follow and model compliance with the principles and procedures outlined on the UAB United website.

This guidance is subject to change as the University monitors the evolving COVID-19 pandemic and additional public health guidelines from local, state, and federal authorities. Any updates will be communicated through UAB communications channels, including the UAB United website. For the most current information, we encourage frequent and repeat visitors to refer to this page before each planned visit for the latest information about the University’s response to COVID-19.

Definition of a Visitor

A visitor(s) is any individual on campus not currently enrolled as a student and in good standing or who is not a current employee of UAB.  This includes, but may not be limited to alumni, donors, visiting athletics teams, contractors, family members of UAB students/faculty/staff, service providers, media, vendors, visiting students/scholars/staff, volunteers, and participants in campus programs or events.

Scope

This guidance applies to all visitors to University (non-clinical) facilities and UAB faculty, staff, and students who invite visitors. UAB Medicine visitor guidance can be found at: https://www.uabmedicine.org/visitor-policy.

Health and Safety Requirements

  • Visitors who are feeling ill or who have had a close contact with an individual testing positive for COVID-19 should not come to campus.
  • Visitors must properly wear a face covering when inside UAB buildings.  Visitors can briefly unmask while actively eating or drinking if a minimum of 6 feet of social distancing can be maintained.
  • Visitors should bring their own face coverings and hand sanitizer.
  • Visitors should wash hands frequently for at least 20 seconds, particularly after coming into contact with high-touch surfaces (i.e., doorknobs, handrails, and commonly-used equipment) and avoid touching their faces, particularly eyes, nose, and mouth, with their hands to prevent infection.
  • UAB strongly encourages visitors from the state of Alabama to download the GuideSafe™ Exposure Notification App for quick notification of a close contact.
  • Employees and students receiving a food delivery are required to meet the delivery person at the building entrance and take possession of the delivery.

Visitor Approval Requirement and Process

  • UAB employees who are hosting a visitor should submit a request for approval by the appropriate Department Chair/Org Admin/Dean/VP at least 48 hours before the visit. The request form will collect the following information:
    • Personal contact information (provided for each individual, if a group is visiting)
    • Name of event, program, vendor or external organization, if applicable
    • Building(s) to be visited
    • UAB employee or student inviting the visitor to campus
    • Anticipated arrival and departure date
    • Presence of accompanying minors
    • UAB business purpose for the visit
  • If it is necessary to plan the visitor’s travel to campus, the request for approval of the visit must be submitted and approved before booking travel. Purchased travel commitments do not negate the visit approval process.
  • For general visitors, after approval is received, the electronic system will send the visitor confirmation of the campus visit approval by email. Visitors must be prepared to present the “visitor pass” to enter a UAB building.  It is the responsibility of the visitor to retain all confirmations to ensure access.
  • It is the responsibility of the hosting individual/department to meet the visitor at the door to the building and verify their campus visit approval.

    This prior approval requirement and process applies to individuals who are:
    • Prospective graduate students
    • Faculty or staff recruits
    • Speakers, presenters, or other guest lecturers for classes or academic programs
    • Research collaborators
    • Photographers or videographers engaged by a campus unit
    • Vendors on campus for more than an hour at a time
    • Any other type of visitor not otherwise excluded below
    This prior approval requirement and process does not apply to individuals who are:
    • Passing through campus and not accessing University buildings or outdoor spaces
    • Accessing University buildings in accordance with an individual membership or fee for service arrangement
    • Accessing public buildings, such as the UAB Libraries and Hill Student Center
    • Conducting business with UAB Human Resources or Financial Affairs (i.e., on-site job applicants, retirees/former employees)
    • Patients with an appointment for clinical care
    • Human Research Participants with an appointment for a study
    • Vendors on campus for an hour or less
    • Employees or agents of regulatory agencies on official business
    • Attendees at ticketed events or campus events approved through Events Approval and Scheduling, Engage, or Financial Affairs (e.g., athletics or arts events, approved registered student organization events, etc.) – however, event planners are reminded they are responsible for maintaining attendee or sign-in lists with contact information for tracing purposes
    • Prospective students and their families whose visits are arranged through Office of Enrollment Management or Department of Athletics – Virtual tours are also available
  • The hosting department should maintain documentation of all visits, including approval of the supervisor, buildings to be accessed, and meeting itineraries in order to respond and support each visitor, as well as appropriate contact information for follow up, if necessary.

Guests in Residence Halls

Every residential student has a vital role to play in reducing the spread of the novel coronavirus (COVID-19) and keeping our campus community safe. Student Housing and Residence Life adheres to guidelines and practices set forth by the Center for Disease Control (CDC), the state of Alabama, and UAB. We highly encourage all guests to get vaccinated before coming to campus.  Guests are expected to wear face masks/coverings while inside UAB facilities.

  • Guests must register at the staffed desk with their residential student escort.
  • Student residents are required to meet their guest(s) at the building entrance, sign their guest(s) in and out, and escort their guest(s) at all times while in the building. At no time should any student resident provide entrance to the building to someone who is not their guest.  All guests must follow current established COVID-19 protocols.
  • Student residents are responsible for all actions of their guest(s).
  • Student residents who entertain visitors are expected to maintain appropriate group-living behavior standards.

Dining on Campus

  • Campus Dining has several locations to serve students across campus. Locations and hours can be found here: https://www.uab.edu/students/dining/locations-hours.
  • Limited seating is available with grab and go options at each location.
  • All Campus Dining locations are cashless at this time. Guests may use meal plan, debit card, Dragon Cash, meal plan dining dollars, or Blazer Bucks.
  • Off campus visitors/guests may also visit Campus Dining. All Dining guests must have properly worn face mask/covering, socially distance while in line, with no more than one person per table while eating/drinking.
  • Updated procedures will be posted as we continue to follow local, state, and federal guidelines related to safe practices for our Dining guests.

Visitors who Experience Symptoms or Test Positive for COVID-19

  • Visitors who experience an onset of COVID-19 symptoms while on campus must leave campus immediately. After experiencing symptoms, visitors are not allowed on campus until they have been symptom-free for 10 days since the symptoms first appeared and fever-free for 24 hours.
  • If diagnosed with COVID-19 within 14 days of their visit to campus, visitors are required to notify their UAB host.
    • Upon notification, the UAB host will instruct the visitor to update the GuideSafe™ Exposure Notification App.
    • The UAB host will follow the same instructions outlined in the UAB Checklist for Supervisors for employee/student positive cases, including assisting with the University’s contact tracing and notification procedures, notifying the department, and coordinating enhanced cleaning.
    • Visitors who have tested positive for COVID-19 may not return to campus until they have completed the isolation procedures set forth by the CDC.

School/Unit Responsibilities

  • School and unit leadership sponsoring events that involve visitors must follow appropriate processes for approval. See current event guidance here.
  • School and unit leadership are expected to provide internal support and guidance to plan how the visit will be managed to ensure health and safety of all parties, monitor their visitors, and provide the oversight to ensure compliance with these expectations as described on the United website.
  • The UAB employee host is responsible for contacting the visitor if the visitor was exposed during the campus visit.

Compliance

Visitors violating any requirements may be asked to leave campus. Repeated cases of failure to follow University requirements may result in extended prohibition from campus.

UAB employees violating any requirements may be subject to discipline, as may be appropriate, or restricted from hosting future visitors to campus.
