OSP guidelines state that a full proposal (to include all required documents for submission) in DRAFT format is due five full business days prior to the submission due date. A FINAL proposal is due no later than 12:00 noon the day before the submission due date. Complete and final proposals received in OSP with less than 1.5 business days in advance of the due date will not be submitted. Multi-project proposals are due in DRAFT format at least ten business days prior to the submission due date. The OSP review plan and other available resources on the OSP website can help as you prepare your proposal.

In addition to the OSP guidelines, CAS Research Office guidelines must also be met. Full draft proposals should be emailed to your assigned CAS Research administrator seven full business days prior to the sponsor deadline. Draft proposals submitted less than seven full business days will be handled on a first-come, first-served basis.

OSP will not review proposals if emailed directly from the department or the PI. The PI must give access to proposals (SRO access) before the CAS Research Office submits your application to OSP for review. The PI, department chair and award manager will be copied on the email from the Research Office to OSP.

If the above time frames are not met, CAS Research Office reserves the right to inform the PI that there is not adequate time for proposal review and thus the proposal cannot be submitted or will be submitted without CAS Research Office review. If the OSP proposal submission requirements are not met, the proposal will be returned to the department as incomplete and will not be submitted to the sponsor.

Full draft proposals must include the following:

  • extramural checklist
  • responsible personnel list (RPL)
  • budget and justification
  • proposal narrative
  • statement of work (project summary/abstract)
  • biosketches
  • letters/statements of intent
  • institutional commitment letters
  • cost sharing forms (if applicable)
  • subaward information (budget, budget justification, statement of work)
  • any other sponsor/UAB required forms

CAS Research Office reviews include:

  • Reading and interpreting application announcements/guidelines to ensure all application requirements have been met
  • Verifying budgets to ensure funds requested are adequate and correct and meet project needs
  • Ensuring all required internal UAB administrative documents have been completed accurately and obtaining appropriate signatures for submission
  • CAS Research will email PI and/or award manager with any comments/corrections/questions concerning the proposal within 24 hours of receipt of proposal
